*** DD meeting 18th November - Please send your ideas in FINAL WEEK ***

The following is a suggested approach to the organisation and running of the DD review meeting. This approach has been put forward by Lily in a hope to ensure the meeting is prepared and run fairly for all parties.

The meeting is to clarify points from 2006 where this is possible, to address any concerns over the management of the series and to gain clarification or introduce suggestions for 2007.

The aim of the meeting is not to dwell on the past but to where possible put the past behind and provide a means to move forward in a positive manner.

Whilst it is recognised that people will have individual views on how this should be run and what should be covered it would take significant time to get this to a point where the majority were happy. Given the timescales it is hoped that people will recognise the approach as being sensible and will support it going forward. If anyone would like to clarify or add suggestions that could be adopted to support this approach please email to Lily at ducatilil@gmail.com

It is requested that this thread is locked to avoid it becoming a debate and to allow it to be stickied for people to see. If people would like to pass comment or request clarification it is requested that this be directly to Paul James or Lily initially.

Lily has offered to chair the meeting with the support of 2 further members. If anyone has any strong objection to this please let me know via email prior to next Monday. If this is the case an alternative candidate will be required.
In addition two further members are required to assist in this and to make this fair it is suggested these be nominated and seconded. It should be noted that these individuals will be involved in the meeting but will not be able to add personal views or comments as their role will be impartial to assist in the control and action taking from the meeting.

It should be noted that not all questions/issues will be able to be resolved/answered in this meeting and where this is the case an action will be taken if necessary.

The RC will be represented and will have the opportunity to answer/ask questions as necessary in line with other attendees.

Meeting is prepared and run by a team of 3 people – DSC members with impartial views on DD and the RC. The individuals will not be able to pass comment on the topics being discussed save for requesting clarity and assisting in debate.

Prepare discussion topics from input, distribute discussions and control the meeting
• 2 support
Support the chair, take minutes, assist with identifying and clarifying point and ensuring actions are captured and clearly recorded.


The meeting will be open to all DSC members.

Any interested party (member/non member) may submit a question or topic to be discussed at the meeting this should be done via email to the chair and if necessary supporting information provided. This is to assist people in understanding what will be covered and enable a structured approach to the meeting.

Questions and topics to be discussed should be clearly articulated and should avoid personal attacks or comments.

The chair will collate all questions and topics for discussion into a summary requesting clarification from submitters if necessary. If for any reason the chair feels a topic is inappropriate they will contact the submitted to discuss this further.

Questions/Topics should, where possible, be categorised as:
o 2006 questions/issues
o 2006/2007 organisation questions/issues
o 2007 questions/suggestions

There will be an opportunity for AOB during the meeting at which point people can pick up on additional points that have not been covered.

The meeting agenda will be:
• Open meeting

• Introduction of chair and team

• RC summary of statistics, highlights and rider surveys from 2006

• Questions and topics for discussion under each category
o 2006 questions/issues
o 2006/2007 organisation questions/issues
o 2007 questions/suggestions

The chair will introduce each and will allow the submitter to add further detail if required. If the question is direct to an individual or the RC they will be given an opportunity to answer. The point will then be opened to the floor for discussion.

The chair will maintain control of the meeting however the chair and team may ask for clarification of points and may pause the meeting should it be deemed necessary.

Timescales
Mon 23/10 10pm Chair and team agreed
Mon 23/10 – Wed 8/11 Questions or topics for discussion sent to the chair
Wed 8/11 – Wed 15/11 Questions/discussion points collated and clarified
Thur 16/11 Questions/discussion points can be requested from the chair
Sat 18/11 Review meeting

This approach will also be issued through Avanti and via pronto, the minutes and actions will be collated and available in the public domain.

Final week to the meeting and ideas need to be posted to Lily for collating.
